Manage Tools

Why to use Manage Tools

Using Manage Tools marks a significant shift in a company development from performance measuring to improving operation efficiency and all business activities.

Manage Tools automatises setting objectives that need to be accomplished as well as criteria for controlling achievement of the objectives. It creates performance models. It continuously tracks meeting the stated objectives, it displays what has been done in the entire system and it calculates the sums for the variable pays.

Business intelligence is implemented in Manage Tools system and it helps users make informed business decisions.

The programme is suitable for any type of company.

Entering data

Data, which is generally recorded on the level of organisational units,  is automatically transferred from the existing information system. After importing it into Manage Tools programme, data stored on the level of organisational units is disassembled into elements of employees’ performance, according to agreed preordained criteria. This function in Manage Tools is fully automatised.

Manage Tools System can adapt itselft efficiently and fast to the company’s already existing IT system.

If the company’s IT system or Excel tables do not provide all necessary performances, they are entered into the programme options. Generally, when implementing the programme, data are first entered manually and later it is done automatically from the information system.

Who uses Manage Tools

Company management is the main user of the system and they use it for making and implementing data-driven decisions.

Internal control uses the programme for identifying discrepancy between the achieved results and strategic and operational requests of the company.

Human resources use the programme for providing valuable data for implementing operational and strategic plans as well as for monitoring the implementation of reward model which promotes adding value within the company.

Planners use the programme for strategic and operational planning. The programme  supports planning tasks and responsibilities for all positions. Detailed plans of work elements promote higher levels of work motivation.

How the system works

Subsystem for defining KPIs, work elements, plans and objectives provides data about planned elements of work with clearly defined plans and goals.

Continuous measuring of progress against work objectives is done by processing work results for every work element and their recording in the database.
The data about work results stored in the subsystem enables easy monitoring and improving operation efficiency and overall business activities by the company management.
The same subsystem, through performance model,  enables calculating payouts –  base pay and  variable pay/bonuses.
The programme provides algorithms for the automated data processing. Algorithms provide summing of work elements that are measured in different ways and their incorporating in efficiency models and performance models.

Implementation

Manage Tools implementation encompasses all the processes necessary for the successful use of this system. Manage Tools implementation brings big changes in an organisation. It is a process that requires active participation of all end users of the system: directors and managers make decisions while planning sector, HR and IT sectors support programme implementation.

During the implementation we use Manage methodology which is carefully designed to accelerate the process.

Project preparation consists of four phases:

Project preparation

1) The first big step in project preparation is creating implementation team.

2) The next phase is defining desired results that summarise client’s needs and determining deadlines. The main business activity of the company is analysed as well as how Manage Tools system can contribute to its success. Apart from that, the functions of the existing information system are analysed, and the data exchange between Manage Tools and the existing system is defined.

Writing the project plan

3) The next phase is writing the project plan. In this phase all existing company processes are formulated and it is defined how they can be improved and recorded in Manage Tools. When all steps are defined, the project plan is accepted by project leader and director (if director is not project leader).

The execution phase

4) In the execution phase the following steps are taken:

– Setting the system according to the project plan

– Writing user manuals

– Verification process completed by users

– User training

– Opening user accounts, automatisation of user accounts in the system

– Creating customer support

– Pilot project, a phase when project solutions are tested in a real business environment. The key functions are given special attention. Pilot project marks the conclusion of the active process of implementation.

Using Manage Tools

After successful completion of the system development, post-implementation monitoring is organised in order to measure performance, analyse results and optimise long-term objectives. This is the basis for further improvements of the implemented system.
